Mobile Working
If you use Mobile Pericles, you can transfer case details to and from the Pericles Benefits system automatically. You can download:
- Existing benefit cases for review. The system downloads the most recent case details such as any existing earned or unearned income, existing benefits details etc.
- New benefit cases for completion. The system downloads the initial information that you have entered into Pericles for case, which may only be the claimant's name and address
To download cases to Mobile pericles so that you can review the case and then transfer updated details back to Pericles, you carry out the following steps:
- Identify the cases for review in Pericles. You can use the Benefit Case Activities dialogue to create review activities or claim completion activities and their associated tasks such as a notified or unnotified visit. You must select the visiting officer and assign a time for a notified or un-notified visit
- Download the day's case review details from Pericles to Mobile Pericles on the scheduled task date.
When claim details for the review visit are extracted to Mobile Pericles, the system updates the visit task, sets the referral date and marks the Benefit Review outgoing document as having been issued.
The system extracts claim data current on the date of extract to Mobile Pericles. It does not extract claim details if a review visit is no longer appropriate. If the latest claim is not the same as the claim that was identified for review or the claim has been cancelled, the system does not extract the details and it rejects the visit task. A subsequent run of Benefit Case Review Identification will monitor tasks rejected in this manner and, if the latest claim is cancelled, reports this fact or if there is a new claim period, the batch job creates a new review task if appropriate
- Review the downloaded case details and supporting documents
- Perform a case review with a claimant and make immediate adjustments. You can enter new information or note a change in circumstances. For example, you can enter any details for a new household member usch as a new partner, record new unearned income, change the employment details, add notes or comments or attach relevant documents
- For each change or addition to the case details in Mobile Pericles, record the reason for the change in circumstances and the date the change (or addition) takes effect. Pericles uses this information to determine whether or not the case details can be updated automatically in Pericles
- If there are significant changes to a case, particularly for a new case, you can calculate an estimate of the claimant's new or revised benefit award. The Calculate option on Mobile Pericles provides the claimant with an estimate of the revised benefit awards. Pericles calculates the final award once all of the details have been returned and updated.
- When you complete the review, the claimant should read a standard legal declaration and confirm the accuracy of the information provided by signing the electronic form using the signature capture capability.
- Assign the appropriate status to the visit to indicate whether any details have changes and whether or not further evidence is required. At this stage the visit details are eligible to be returned to the Benefits system
- Upload the revised case details to Pericles
- When you return the updated details to Pericles, the system enters the completed date for each review visit that you return, closes the visit task marks Benefit Review outgoing document as having been returned
- The system also uses the visit status on the case details to determine whether or not the form details require you to check and update them manually:
- For cases where the visit is complete and evidence is supplied, Pericles applies the changes automatically
- Cases where you have changed the details or which require further evidence appear on the Mobile ETD Forms Awaiting Manual Intervention dialogue
- You should review and check the updated case details and make any required changes to the details with Update Mobile ETD form for Case dialogue. Once you have completed the form, it is ready for automatic processing by the Mobile Forms batch job
